Privacy Policy NATM
The Dutch Association for Travel Management [NATM] is committed to safeguarding your privacy and handling your personal data with care as a valued member, customer, and user of our website and any NATM apps. Below explains how we collect, store, and use your personal data and information about you when you visit these tools and when you transact with us. It also describes the types of data we collect, how we use the data to ensure we provide you with relevant and timely services, and your rights to manage our use of that data. This policy applies only to your personal information on the NATM website and app. The website natm.nl contains numerous links to external websites beyond our control, and we recommend checking their privacy statements before using them.
For the purposes of this policy, "NATM" refers to the Dutch Association for Travel Management and any other NATM subgroup. The reference to the "NATM website" also includes all NATM apps.
Data Collection
NATM holds utmost respect for the privacy of our members and website visitors, fully complying with Dutch data protection legislation. We collect highly specific, relevant information necessary for managing your membership. The personal and company information collected from registered members is used solely to verify membership status and subsequently gain access to member resources and personalized features on the NATM website/app.
NATM may collect your data in the following circumstances:
- When you register to use the NATM website/app.
- Each time you visit the NATM website, we may collect visit data, including but not limited to, traffic data, location data, and other communication data (see Cookie Policy).
- Whenever you disclose your data to us when reporting an issue, filing a complaint, asking a question, or contacting us for any reason.
Data Usage
NATM uses your data solely to enhance and distribute its products to its members. Our communication with you may be via post, phone, or email, or through your online profile on the NATM website and/or app.
Limited contact information is also used to create the member's listing on the website and on our online event registration page.
NATM's communication is vital to keeping you informed about how NATM membership can benefit you. We may send you emails from time to time with member-exclusive communication to help you maximize your membership. You can update your contact preferences at any time by updating your membership profile on the NATM website/app or by sending us an email at secretariaat@natm.nl.
Additionally, we will contact you with important information regarding your membership (e.g., when it's time to pay your annual membership fee). In these cases, we process your personal data because it is necessary for the performance of a contract with you.
Non-Members
NATM will use the data you provide to contact you about NATM products or services. You have the option to opt out of communication at any time, should you wish to.
Disclosure to Third Parties
The personal and company information collected from members is shared with third parties solely for the purpose of providing services to members. NATM makes some member data available to specific NATM partners, only when access to a third party is necessary to provide NATM services. Currently, these partners include, but are not limited to:
- GBTA – for providing GBTA updates and membership only after you sign up on the GBTA Hub.
- Mollie Payment Tool - for the administration of NATM conferences/events.
- Events company Azavista - for the registration of NATM conferences/events.
- KLM – for providing our direct members a personal Flying Blue Gold Card.
- Media partners for duplicating databases when sending promotional material to those who have opted in.
NATM presents information about third-party vendors to NATM members using the provided information. In cases where a mailing or other communication is conducted to NATM members, data is not directly provided to the third-party vendor but to a recognized mailing house bound by the provisions of the Direct Marketing Association's code of conduct.
Mailing, print, and fulfillment companies - NATM will disclose your information only to print and fulfillment companies doing business on behalf of NATM and only for an agreed-upon purpose, such as the distribution of magazines, operational member mailings, or marketing mailings. Data is securely transferred and, once the purpose for which it was transferred is completed, it is deleted.
These third parties are contracted with the strict understanding that ALL data provided by NATM is limited to use for the purposes set out in an agreement and solely for those purposes.
Credit Card Account Information
NATM does not store credit card details. Your credit card information is processed through our payment gateway service provider. This company does not store, share, retain, or use personal information for any other purpose than providing this service to NATM.
Data Retention
We retain your data only as long as necessary to fulfil the purposes for which the information was collected.
When you make a purchase from us, such as training, events, etc., we retain that information for a period of seven years after the end of the financial year in which you purchased from us. It is our legal obligation to retain this data for tax purposes.
Membership information is retained for a period of 10 years from your last renewal date, allowing you to rejoin. An indication that you have been a member and your membership level is retained as part of our membership register.
Once the information is no longer needed for these purposes, it is completely removed from our system.
Security Measures
NATM has implemented appropriate technical and organizational measures to ensure we have minimized risks such as loss or unauthorized access, destruction, use, alteration, or disclosure of data.
As a member, you are responsible for maintaining the confidentiality of your password and account information. NATM is not responsible for personal information you choose to submit via an online forum or on social networking services on the website or in the NATM app.
Sharing NATM member personal data with third parties without the member's approval is not allowed. If a member violates this rule, they risk being removed from the NATM website/app.
